About Artificial Intelligence

Artificial Intelligence (AI) is the technology that is used to develop content, analyze information, and summarise texts, without human engagement. The content produced by AI may contain errors or outdated information. Any material produced with AI must always be checked prior to its use.

Permitted Uses of AI

AI can be used for these purposes:

  • Performing administrative functions : creating documents, organizing data, and improving internal operations.
  • Communicating with clients : giving answers to basic questions and FAQ.
  • Creating content : helping to develop website content, blogs, social media posts, and educational materials.
  • Data analysis and trend monitoring : reviewing operational information to identify patterns and improve service delivery.
  • Research and analysis : Summarising information and supporting internal research, subject to independent verification.
  • Business operations : enhancing reporting and customer relationship management efficiency.

In most cases, we check the content obtained through AI prior to its professional use.

Restrictions on AI Use

The following practices are prohibited :

  • Presenting information generated by AI as credible professional advice without necessary verification;
  • Making or communicating final conclusions about visa eligibility without appropriate assessment by a qualified expert;
  • Representing AI-generated content as a substitute for the services of an authorised immigration professional;
  • Uploading confidential, sensitive or identifiable client information to AI platforms that have not been approved for the intended use;
  • Using AI technologies to create false claims, misleading visa information, fabricated evidence or deceptive marketing material;
  • Relying on AI outputs without checking their accuracy when they may affect a client's understanding, decisions or immigration application;
  • Using AI in ways that breach applicable laws, contractual obligations, privacy requirements or professional standards.

Human Review and Professional Accountability

Human supervision continues to be a crucial component of our use of AI.

Before AI-generated content is put to use in a business operation or shared externally, appropriate staff must review it.

The level of review must reflect the nature and potential consequences of the material.

Where a matter involves immigration eligibility, visa conditions, application strategy, legal interpretation or other professional advice, the information must be assessed by a suitably qualified or authorised professional, as required by the relevant jurisdiction.

AI-generated content does not become reliable or legally valid merely because it has been produced by an advanced tool. Responsibility for the Company's decisions, communications and services remains with the relevant human decision-makers and the Company, as applicable.

Privacy and Protection of Data

When offering immigration services, we frequently deal with sensitive personal, financial, educational, occupational and family information. For the protection of such information, we take steps to use the AI tools responsibly.

Before entering any personal or confidential data into an AI system, we always consider several points, including whether it is necessary, if it is safe and if it is lawful to enter such details.

We follow a number of safety measures to ensure the protection of data, such as the use of certain reliable AI technologies, access to information only by authorized staff, reviewing data handling, and making sure that we comply with privacy legislation.

Personal information must be handled in accordance with our Privacy Policy and applicable laws. For details on how we collect, use, store and disclose personal information, please refer to our Privacy Policy.

Drawbacks and Dangers of Artificial Intelligence

AI systems may produce inaccurate, incomplete, outdated or biased information. They may also misunderstand context, overlook important facts or present uncertain information with an unjustified level of confidence.

AI-generated information must not be treated as an authoritative source of current immigration requirements. Relevant information must be independently checked against appropriate official sources or reviewed by a qualified professional when necessary.

We do not rely on AI results when making decisions on issues that require professional assessment.

Responsibilities of Employees and Representatives

All employees, contractors and authorized representatives must use AI tools only for purposes approved in this Policy.

They are accountable for protecting confidential information as well as for validating applicable results, recognizing possible errors, and escalating matters that require specialist review.

Artificial intelligence must not be used against established approval processes, the responsibilities of professionals or internal security measures. Any suspected misuse, violation of privacy or serious misleading results produced by AI must be reported through the applicable internal company reporting process.

Policy Review and Updates

The Policy may be updated and amended when significant changes occur concerning the use of AI, the provision of services by the organization, and relevant technologies and legal and regulatory requirements.

Where necessary, the Company will communicate significant updates through appropriate channels. All use of AI within the business must comply with the latest version of this Policy.
